Role & Responsibilities

Reports to: Controller
Based in: Norwood, MA

Role:

The Receptionist/Office Assistant will primarily support the front desk, oversee general facilities, and provide general accounting support.

Responsibilities:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Order and maintain office supplies and office snacks; maintain cleanliness of kitchen
  • Ensure office is presentable and kept neat; covid touch up cleaning during the week
  • Troubleshoot & maintain office machines, systems and facilities
  • Filing, faxing, scanning, office organization
  • General office support
  • Process incoming and outgoing mail
  • Maintain project contract files
  • Accounting support
  • Accounts payable processing – entering invoices daily into Spectrum software
  • Fleet management
  • Mobile device set up, issue resolution and maintenance
  • File all posted & paid A/P, pull invoices for check run
  • Setting up new hires with clean desks, supplies, computers, cell phones if applicable
  • Coordinate catering needs for office events and trainings

Qualifications

  • Office experience required including reception with priority given to strong accounts payable experience.
  • Excellent verbal communication skills
  • Pleasant demeanor in the office and over the phone
  • Microsoft Office Skills and general computer comfortability
  • Ability to learn quickly, think independently and process a large volume of invoices
  • Organized and pays close attention to detail
  • Demonstrated ability to take pride in one’s workspace
